The main window is the window that appears when KMail is started. It is by default divided into three panes:
This pane contains the list of your message folders (other email programs may call them mailboxes). To select a folder, simply click on it. The messages contained in the folder will now appear in the Headers pane. The folder list can be displayed in both a short view, which takes up only a small portion of the left side of the screen, and a long view, which takes up the entire left side of the screen but is able to show more mailboxes. You can toggle between these two views under <menuchoice>Appearance → Layout</menuchoice> in the <menuchoice>Settings → Configure KMail...</menuchoice> dialog. The top section of the folder pane contains quick links to your favorite folders. Add folders here through the right mouse button context menu <menuchoice>Add to Favorite Folders</menuchoice>. Please see the Using Folders section for more information about how to use folders.
This pane lists header information (message Status Flags, Sender, Subject, Date, and other optional columns like Size, Attachment Flag, Important Flag, etc.) for the messages in the currently selected folder. Clicking on a header will select that message and display it in the Message pane; you can also select more than one message by holding down the <keycap>Ctrl</keycap> key when clicking on messages. Change the view of your message list by selecting <menuchoice>View → Message List → Theme</menuchoice>. You have several options here.
*<menuchoice>Classic</menuchoice> - A simple, backward compatible, single row with clickable sort columns.
*<menuchoice>Fancy</menuchoice> - A fancy multi-line, multi-item with status icons, no sort columns.
*<menuchoice>Fancy with clickable status</menuchoice> - A fancy multi-line, multi-item, status icons and clickable sort icons.
*<menuchoice>Configure...</menuchoice> - Allows you to customize your own Message List Theme e.g. add or remove columns from the clickable sort bar.
If you have chosen a theme with a clickable status, you may sort the messages by clicking on the column that you wish to sort; if you click on the same column more than once, sort order will toggle between ascending/descending and some alternative sorting criteria will become available (like sorting by Status when you click on the header of the Subject column). Clicking the right mouse button on the list header shows a pop up menu, which allows you to show or hide several columns in the list. You can customize the columns visible on the sort bar, see
Configure Appearance Message List for details.
This pane displays the currently selected message. Below you will find options to adjust the reader window to your preference.
The top of the reader window contains various header options. Go to <menuchoice>View → Headers</menuchoice> and try them out until you find one you like! Details for the various headers are as follows:
*<menuchoice>Enterprise Headers</menuchoice> - A minimal header with title, From, and To, with a graphical design.
*<menuchoice>Brief Headers</menuchoice> - Title, and in parentheses you will find From and the date.
*<menuchoice>All Headers</menuchoice> - List everything you ever wanted to know about the email, including every server it went through, virus/spam scanners it went through, etc.
*<menuchoice>Custom Headers</menuchoice> - See Configure Appearance Message Headers to set up custom headers that can be selected here.
*<menuchoice>Example Fancy</menuchoice> - An example fancy header from the Download New Themes....
*<menuchoice>Download New Themes...</menuchoice> - Allows you to download custom themes created by other KMail users.
If you prefer to view your email in HTML format instead of plain text (Default), click on the bar located on the left hand side of the pane. The text on the bar will inform you which view you are in. If this bar is missing you can enable it in the <menuchoice>Settings → Configure KMail...</menuchoice> dialog, from there you want the <menuchoice>Appearance → Message Window</menuchoice> tab, and select <menuchoice>Show HTML status bar</menuchoice>.
If you would like to change how your attachments appear in your messages, go to <menuchoice>View → Attachments</menuchoice>. Your options are as follows:
*<menuchoice>As Icons</menuchoice>, all attachments appear as icons at the bottom of the message.
*<menuchoice>Smart</menuchoice> will show attachments as icons, unless the message suggests that they should be displayed inline. You can suggest that certain attachments should be shown inline in your own messages when you select <menuchoice>Suggest automatic display</menuchoice> in the attachment's properties dialog.
*<menuchoice>Inline</menuchoice> shows the contents of the attachments at the bottom of the message. Attachments that cannot be displayed, e.g. compressed files, will still be shown as an icon.
For complex messages you can show the structure of the message by selecting <menuchoice>View → Show Message Structure</menuchoice>, this will show in the message structure viewer below the preview pane.
You can scroll through the message page-by-page using the <keycap>Page Up</keycap> and <keycap>Page Down</keycap> keys, or line-by-line using the <keycap>Up</keycap> arrow and <keycap>Down</keycap> arrow keys; you can also use Keyboard Shortcuts to skip through your messages without having to use the mouse.
This is a short introduction to KMail and its usage so you can start working with it right away. Please follow the links to find detailed information on the tools described here. For more in-depth information see the Using KMail section.
When KMail starts for the first time you will be presented with the Account Wizard to set up email accounts.
Easily import your emails from other applications with the Import Wizard
If you are moving from another KMail installation, e.g you want to transfer your KMail to a new computer, you can use
PIM Setting Exporter to export everything from your old KMail installation and then use it again in your new installation to import the items you exported.
Message Folders are used to organize your email messages. When you first start KMail the Local Folders containing inbox, outbox, sent-mail, trash, drafts and templates folders are created. These folders each have special functions:
Where messages are put while they are waiting to be delivered. Note that you should not drag and drop messages here to send them, use the <menuchoice>Send</menuchoice> icon in the composer window instead.
Contains messages you started to edit but then saved to this folder through <menuchoice>Message → Save as Draft</menuchoice>.
This folder holds your templates created via <menuchoice>Message → Save as Template</menuchoice> in the composer window. Please see New Composer Templates for details.
* The trash folder can be configured for each IMAP from the Receiving accounts tab in the Accounts configuration panel.
<menuchoice>Receiving accounts → Select the account → Click on "Modify" → select the Advanced tab </menuchoice>
* The sent, drafts and templates folders can be configured for each identity from the Identities tab in the Accounts configuration panel.
<menuchoice>Identities → Select the identity → Click on "Modify" → select the Advanced tab </menuchoice>
Organize your emails, e.g. by mailing lists, bill receipts etc., by creating new folders. To create a new folder, select
<menuchoice>Folder → Add Folder...</menuchoice> or <menuchoice>Add Folder...</menuchoice> from the right mouse button context menu. A dialog will pop up, enter the name of the new folder in the text box. You can fully customize each folder e.g. views, replies, etc. in the properties for a folder by selecting the folder you wish to modify in the folders pane and select <menuchoice>Folder Properties</menuchoice> from the right mouse button context menu. Please see Folder Properties for details.
To move messages from one folder into another, select the message(s) you want to move and press the <keycap>M</keycap> key or select <menuchoice>Message → Move Messages To</menuchoice>. A list of folders will appear; select the folder from the list that you want to move the messages to. Messages can also be moved by dragging them from the Message list to a folder in the Folder list.
If you have folders that are frequently accessed, you can add them to your favorite folders pane in the upper left corner. Add them through the right mouse button context menu <menuchoice>Add to Favorite Folders</menuchoice>.
You can create a virtual folder with search parameters by going to either <menuchoice>Edit → Find Messages...</menuchoice>, <menuchoice>Tools → Find Messages...</menuchoice>, or Keyboard shortcut <keycap>S</keycap>. Enter your search parameters into the dialog. Name your search at the bottom <menuchoice>Search folder name:</menuchoice> textbox, e.g. emails with the word Blog. Click the <menuchoice>Search</menuchoice> button. Now select the <menuchoice>Open Search Folder</menuchoice> button. Your results folder will be at the bottom of the Folder pane.
Creating filters to automatically move messages to specified folders is a great way to organize messages by mailing list, sender, subject etc. Please see Filters... for details. <br />
In the case that you receive emails from a trusted source, e.g. a Blog you signed up for, that is formatted in HTML and you would like to enable HTML view for just those emails. You can achieve this by doing the following: Create a new folder, set up a filter to place those emails in the new folder, select the folder and select <menuchoice>Folder → Prefer HTML to Plain Text</menuchoice>.
Create an archive of the folder. See Archive Folder... for details.

You can use kmail and gpg to send encrypted or digitally signed mail. To do this, there are the buttons "sign" and "encrypt" in the kmail compose window. It appears if you click on <menuchoice>File -> New -> New message</menuchoice>.

A web of trust comprises a group of persons who trust each other. To show their trust, they have signed each other's keys. gpg allows you to do this.
The web of trust is extended in key signing parties that go like this:
* you (me@home.org) meet John Foo (foo@bar.org) who is already a member of the web of trust
* you install gpg
* you have a private/public key pair or generate one with
Your private key is stored in "secring.gpg", your public one is stored in "pubring.gpg". You keep your private key secure, and are free to distribute your public key.
* you find out your key's fingerprint (name)

* you upload your public key to your key server
* John downloads your key from the key server
* John checks your passport and signs your key
* John uploads your key again
* You are now part of the web of trust and your public key is on the key server.
Import a saved keyring
If you have a keyring saved to your disk, reload ("import") it like this:

Then call kgpg and set your trust on your private key to "ultimate."
Whatever problems arise, first make sure your gpg is properly set up:
* List your keys
** Has to deliver something like a sensible list of keys.
* Check the output of
** In case of a problem look at the below.
No ultimately trusted keys found
If
delivers

Call kgpg and set the trust of your private key to "ultimate'"
<!--
"Gpg does not seem to be running..."
You get an error message like this whenever you start up? You need scripts to make it start and stop cleanly. You can get scripts here:
Copy them into your ~/.kde/env and ~/.kde/shutdown folders, check permissions, and make sure they are executable.
-->
Still not working?
Check which pinentry packages you have installed. You may find you are missing pinentry-qt4.
From time to time you need to do some maintenance work on your keys. KGpg was written to make this easier. There you will be able to extend the life of your keys, refresh them if they have already expired, change your passphrase, or revoke a compromised key.
